Implementing social distancing guidelines

Social (physical) distancing means keeping space between yourself and other people outside of your household to prevent the transmission of viruses. The following practices are recommended by Centers for Disease Control and Prevention (CDC):

  • Stay at least 6 feet from other people

  • Do not gather in groups

  • Stay out of crowded places and avoid mass gatherings

Businesses and organizations are responsible to ensure that their workplaces and other shared spaces are compliant with social distancing guidelines, issued by public authorities.

Use the YAROOMS capacity limitation feature to implement social distancing measures in rooms and locations.

Activate the number of attendees setting

Account > Global settings > Activate number of attendees

Once the setting is activated, the user (meeting organizer) is required to indicate the number of meeting attendees while booking a room. This information is used to determine whether the number of attendees is compliant with room capacity limitations. If they are exceeded, the user is not allowed to finalize the booking.

Set and enforce room capacity limits

Manage > Meeting rooms > Edit room > Capacity

The capacity limit can be adjusted for each room, in the designated field. To make the system reject bookings exceeding attendee limit, activate the “enforce room capacity” option.

Important: if the room capacity is not enforced, the limitations work only as recommendations. The bookings can be finalized even for the groups larger than the room can accommodate.

Enforce location (building) capacity limits

Manage > Locations > Edit location > Capacity

This new field allows setting the maximum capacity in buildings. It sums up the capacities of each room and assures that this number does not exceed the overall location capacity.
